Standard Terms and Conditions

1. CONFIRMATION/TERMS AND CONDITIONS

We require confirmation of booking as soon as possible to ensure the desired accommodation and function room requirements can be met. Please note this is not a confirmation and the Resort does not take tentative bookings therefore we may have other outstanding enquiries for the dates you have requested a quote for. Guaranteed numbers for catering and accommodation are required 14 days prior to arrival. If numbers are reduced within 14 days catering and accommodation will be charged in full.

All reservations must be confirmed by completing and signing this standard terms and conditions form. A deposit of 25% of the budgeted cost must accompany the form within 14 days of the booking. Coachhouse Marina Resort reserves the right to reallocate the booking if these requirements are not fulfilled.

2. DEPOSIT AND PAYMENT TERMS AND CONDITIONS

A deposit equal to 25% of the total estimated costs is required within 14 days of making the reservation. 14 days prior to arrival final payment will be required based on final numbers. Incidental Account to be finalised in full on departure unless other arrangements are made. Corporate Credit Cards, Amex and Diners attract a 2% surcharge.

3. GUARANTEED NUMBERS

Confirmed minimum attendance numbers must be notified to the Resort no later than 14 days from the conference date. After this date additional rooms may still be booked at the agreed rate, but will be subject to availability. Guaranteed numbers are required no later than 14 days from the conference date. If numbers are reduced within the 14 days the full amount will still be charged for.

4. FUNCTION DETAILS

All function details such as Menu's, Timing and AV requirements must be confirmed in writing within 14 days of your function.

5. CANCELLATION

We understand that circumstances may sometimes make it necessary for you to cancel your event. Written cancellation received more than 60 days prior to your function the full deposit will be refunded.
Written cancellations received less than 60 days deposit will be forfeited. Events cancelled less than 14 days prior to the date will forfeit the total event cost.

6. SURCHARGES

A labour charge of $150.00/half hour will apply if a function continues after agreed time. A 15% surcharge is applicable on the total amount of food and beverage charged on Public Holidays.

7. PRICES

The prices quoted will be confirmed in writing along with final function details.

All rates quoted are specifically for this quotation and for the date range nominated. Should your requirements or dates change, a price change may be applicable.

Prices may increase at any time without notice due to changes in or imposition of government charges, taxes or an increase in direct costs.


8. DAMAGES

Clients are financially responsible for any damage sustained to the Resort and its contents and property owned or in the care or custody of the Resort by the client, client's guests, invitees or other persons attending the function, whether in the area reserved or any area or part of the Resort. Nothing is to be adhered in any way to any wall door or other part of the building.

9. RESPONSIBILITIES

a) Coachhouse Marina Resort does not allow food (except celebratory cakes) and beverages to be brought onto the premises for consumption.
b) The Resort will take all necessary care but does not accept responsibility for any damage, loss of property or injury before, during or after any event.
c) Clients should arrange their own appropriate security. The client is responsible for any damage or loss to the Resort caused by or contributed by any of the attendees/contractors of the event.
d) In accordance with Coachhouse Marina Resort’s Liquor Awareness Policy, we reserve the right to cease the supply of liquor to any guest that contradicts this policy.

10. FIRE & SAFETY

Smoke machines, heaters open flames or pyrotechnic devices cannot be operated without the prior approval of the Resort. All floor plans must adhere to fire safety regulations and not block fire exits or public entrances. The Resort retains the right to adjust any set-up to ensure fire, life and safety codes are not breached.

11. DELIVERIES & COLLECTIONS

All deliveries & collections to/from the Resort must be advised to the Functions Department prior to arrival/collection. All deliveries & collections must be clearly marked with the name and date of the function. All items not collected after the function will be disposed of after 14 days.

12. ARRIVAL AND DEPARTURE

Resort check in time is after 2.00pm. Resort checkout is 10.00am.
Access to villas prior to 2.00pm is only guaranteed if the villa is reserved from the previous evening at the applicable full night rate. Late check out is subject to availability, and a fee of $30.00 per villa per hour will apply.

13. ACCOMMODATION

Subject to availability, special accommodation rates may be offered in conjunction with your event. A preliminary accommodation listing of attendees should be forwarded 30 days prior to the event, including arrival and departure dates. The final list is requested no less than 14 days prior to arrival. We reserve the right to release any rooms not confirmed.

14. MENU AND BEVERAGE SELECTION

Please confirm your menu and beverage selection at least 21 days prior to the event, or as otherwise advised in writing.

Under the Liquor Licensing Laws we are under an obligation to ensure that your patrons do not become intoxicated, disturb other resort guests or the neighbourhood or in certain locations within the Resort be under the age of 18. We require your assistance to ensure we do not breach our obligations.

15. ARRANGEMENTS

Approximately 30 days before the date of the event a detailed event list, which covers the finer points of your event, will be sent to you. You will need to promptly sign and return this event list to us as acceptance.

16. CONFERENCE AND FUNCTION CONDITIONS

  • Full day conference package is based on room hire from 8.30am - 5.30pm. Additional charges will apply if the function room is required outside these hours.
  • Additional labour charges may apply if your event continues after the agreed completion time.
  • We reserve the right to re-allocate function rooms due to circumstances beyond our control.
  • The Resort reserves the right to book other functions in the same function room up to one hour before the scheduled function commencement time and one hour after the scheduled function finishing time.

17. ADDITIONAL SERVICES

We will be pleased to arrange a variety of additional services upon request, such as entertainment, technical equipment, etc. A charge will be incurred for some services. If the event is cancelled, such service charges will be your responsibility.
